Our privacy policy (“Policy”) aims to inform you of our commitments regarding the protection of personal information (“PI”) that we collect in the course of our activities. It aims to help you better understand our practices relating to the collection, use, communication and retention of this PI.

This policy applies to personal information as defined in the Act respecting personal information in the private sector, that is to say “any information which concerns a natural person and which allows, directly or indirectly, to identify him or her” .

Sources of collection of personal information

The majority of the PI that we collect is provided to us directly by you, verbally or by completing empty fields on various paper or WEB forms.

For example when you:​

• Communicate with us by telephone, email or via our website;

• Make a donation or sponsorship for the team or speedball initiation program;

• Submit your application for the speedball initiation program or to be part of the team.

Categories and examples of personal information collected

Northern Legion limits the collection of your PI to what is necessary for the purposes of managing and maintaining its relationship with you. Here are some examples of PR collected:

• Identifying information, such as your first and last name, date of birth, email and postal address, and telephone number.

• Information when you apply for the initiation program or to be part of the team at Northern Legion: the information included in the application form, including the PRs you enter there.

Intended use of this personal information

We only collect PI that you have consented to provide to us or that is permitted by law, so it is used for a variety of purposes, including but not limited to the following purposes:​

• Respond to your questions, comments and requests;

• Evaluate your application for the initiation program or to be part of the team;

• Comply with our legal obligations.

Access to your personal information

The PI collected by Northern Legion is accessible to our administrators (2) who need it to carry out their duties. The administrators (2) must at all times ensure confidentiality.

Communication of personal information

In order to provide you with the services you have requested from us, we may transmit your PI to service providers or business partners.

For example, Northern Legion may share your PI with the following vendors:

• The PaintBall League website when registering for tournaments (if you are part of the team);

• The Air B&B or hotel which can be booked during a tournament when it takes place more than 3 driving hours away.

When we disclose your PI to these suppliers, we ensure that we only disclose the PI that is necessary in each case. We also ensure that contracts include the necessary protection clauses to ensure the confidentiality of your PR.

In addition, these suppliers use your PI only to provide you with the services retained, which are related to the purposes described in this Policy.

Retention and protection of personal information

Shelf life

Your personal information is retained securely and only for the period of time necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law.

Protection of personal information

The security measures we put in place consider the sensitivity of the PI we collect. We maintain administrative, technical and physical safeguards designed and intended to protect PI against accidental, illegal or unauthorized destruction, loss, alteration, disclosure, use or access.

Northern Legion processes and stores your RP in its facility in Quebec. However, some of our service providers are located outside the province. Rest assured that your PI is always subject to protections comparable to those required by applicable provincial and federal laws.

Our website may from time to time offer hyperlinks to other sites. The information exchanged on these sites is not subject to this Policy, but to those of the external sites concerned, if any exist. If applicable, we invite you to consult them before communicating your PR.

Request for access, rectification and withdrawal of your personal information

Giving and withdrawing your consent

The collection of certain PI is subject to specific consents. Northern Legion undertakes to only use the PI necessary and for the purposes for which it was collected. In the event that we want or need to use your PI for purposes other than those to which you have consented, we will obtain your consent again.

Please note, however, that if you refuse to allow Northern Legion to collect certain essential information (such as your contact details), we may not be able to provide you with certain services.

You may withdraw your consent to Northern Legion using or disclosing your PI at any time. In certain circumstances, withdrawing consent may impact our ability to provide services to you. Please send your request for withdrawal of consent in writing to the following email address: northlegion.speedball@gmail.com. Please note that we may require proof of identity allowing us to identify you.

Access and correct your personal information

Once we have identified you, you can request to see the Personal Information we have about you, as permitted or required by law. In some cases, a written request from you may be necessary.

If there are changes to be made to your PR, it is best to contact us quickly in order to keep your file and our databases up to date.
